2. CATEGORIES OF PERSONAL DATA COLLECTED AND PROCESSED
In order to carry out its business activities on shipping management Varship Shipping Co. collects and processes personal data, which may be (depending on case):

  • For the crew seamen of our vessels and technicians boarding our ships in order to perform technical works, we process data such as first name & surname, date & place of birth, copy of their passport and/or ID, copy of their seaman book, family status, home address, email address, phone number, job rank, prior services, copies of their competency certificates and of their medical records, as well as full data of their employment contract.
  • As part of our cooperation with our clients, partners, suppliers etc., we process their names and contact details.

 

3. PURPOSES OF THE PROCESSING & LEGAL BASIS OF THE PROCESSING
All the above mentioned personal data is being processed in the business framework of Varship Shipping Co. concerning shipping management.


Legal basis of the data processing may be:
i. The performance of a contract between the Company and its crew seamen, so that they can be hired on Company’s vessels.
ii. The Company’s compliance with its legal and regulatory obligations, arising by the current legal framework regarding the Company’s business activities.
iii. The promotion, preservation and protection of the legitimate interests of Varship Shipping Co. Legitimate interests include the development and improvement of the services provided by the Company, the Company’s seamless and continuously improving operation, as well as the rise and support of legitimate claims or the defense of its rights and interests before court.
iv. The consent that may be provided for specific processing purposes.


4. RECIPIENTS OF THE PERSONAL DATA
For the smooth operation of the Company and in order to practice daily business, the personal data processed by the Company, can be disclosed to third affiliated parties, such as shipping agents, travel agencies, shipchandling companies, charterers, brokers etc.

 

Moreover, the data may be disclosed –as required or permitted by the applicable laws– to public authorities and bodies and courts, in order that the Company comply with its legal obligations or to defend its rights and interests.


5. TRANSFERS OF PERSONAL DATA TO THIRD COUNTRIES OR INTERNATIONAL ORGANISATIONS
The nature of the Company’s business often requires that the personal data will be transmitted to countries or organisations outside the European Union or the European Economic Area. In case that these transfers are not on the basis of an adequacy decision of the European Commission, they will be protected by appropriate safeguards or other mechanisms approved by the European Commission, as required by the relevant legislation.


6. TIME PERIOD OF STORAGE OF THE PERSONAL DATA
In the first place, we store the data at least for the time required in order to fulfil the processing purposes for which the data were collected. In addition, we maintain the data for the time required by the legal framework applied to the business activities of Varship Shipping Co.

For security reasons and in order for the Company to be able to respond to a potential control by state authorities or to exercise and defend its legitimate rights, we store the data for a period of 5 years longer than the period required by law
